Vehicle hire terms to confirm before booking

These terms explain the practical checks that sit behind a vehicle hire request. Call the booking team if anything is unclear before arranging a car, van, minibus or truck.

Terms covered before booking

Booking acceptance
A booking is not final until availability, vehicle category, dates, driver details, payment terms and delivery or collection arrangements have been confirmed by the booking team.
Driver eligibility
Drivers may need to meet age, licence, endorsement, identity and address checks. Larger minibuses, trucks and specialist vehicles may carry stricter entitlement or operator requirements.
Vehicle availability
Fleet cards show representative vehicle categories. The exact make, model, body type, transmission, seats, dimensions, payload and equipment are confirmed before booking and depend on the vehicle supplied.
Insurance, deposits and excess
Comprehensive vehicle insurance is normally included for eligible named drivers on vehicles up to and including 7.5 tonnes. Driver approval, excess and exclusions apply; goods in transit and overhead-height, tyre, windscreen and flood damage are not included. Heavier trucks require approved customer insurance and any applicable operator credentials.
Mileage and permitted use
Eligible rentals use an unlimited mileage policy subject to fair use. Company hire generally uses 2,800 miles per 28-day period or pro rata. Courier use is prohibited under the current published terms. Other delivery-service, hire-and-reward and unusually high-mileage work must be declared and separately accepted in writing; excess-mile charges can apply.
Free delivery and collection
Free delivery and collection can be requested for an eligible UK mainland home or workplace. The address, access, timing and vehicle must be accepted. Stations, airports and ports are excluded from standard handover, as are empty properties where the customer is not registered. Changed, failed or specialist arrangements can be charged.
UK mainland and one-way hire
Supply can be checked across the UK mainland. Selected vehicles may use different eligible mainland start and finish postcodes when the route, vehicle and one-way charge are agreed. Islands and European one-way journeys are not included in that service.
European travel
European use requires prior permission, suitable insurance, breakdown cover, documents and any applicable charges or deposit. Country and vehicle restrictions apply. One-way hire is limited to UK mainland postcodes, so it cannot be used for a European one-way rental.
Company own insurance
A 10% hire-rate reduction may apply when an acceptable company policy gives comprehensive cover for the vehicle and drivers. The policy and certificate must be approved before delivery, and the customer must add the supplied vehicle to the Motor Insurance Database for the hire period.
Collection and responsibility
The customer remains responsible for the vehicle until it has been collected. Accurate location details, suitable access, agreed key arrangements and any parking or storage restrictions must be dealt with for the complete collection window.
Cancellations and changes
Check cancellation, amendment and late-return terms before booking. After a booking has been made, cancellation requests, extensions and changes must be submitted in writing under the operative terms. Charges may apply where a vehicle has already been reserved, delivered, prepared or dispatched.
Final operator terms
The booking team can explain the checks before booking, but the written quotation, confirmation and rental agreement contain the final terms. After booking, instructions that the operative terms require in writing cannot be changed by a phone call alone.
